A contractor preparing a water-distribution extension wants an itemised quotation for pipe and connecting fittings. In this illustrative scenario, the initial list specifies 110 mm outside diameter and 2,000 metres of pipe. It does not yet identify pressure duty, fittings, project approvals or delivery destination.
A price per metre alone would leave important purchasing decisions unresolved. The task is to turn that short request into a supply scope that both the buyer and supplier can check.

The buyer should first send the approved design specification, or identify the details still under review: water service, operating pressure, temperature, pipe grade, pressure class or SDR, and installation conditions. The 110 mm and 2,000 m figures here are purchasing examples, not a pipe-sizing recommendation.
SDR is the ratio of nominal outside diameter to nominal wall thickness. At the same outside diameter, a higher SDR means a thinner wall. Pressure suitability also depends on material and design conditions, so SDR alone is not enough to approve a product for a project.
For drinking-water service, identify the destination’s required approvals and ask which documents cover the exact offered pipe and fittings. A general company certificate should not be treated as approval for every product.
In the example, the pipe must connect to existing equipment and serve several branches. Rather than estimating fittings from pipe length, the buyer supplies a route drawing and connection schedule. Each elbow, tee, reducer and valve interface receives its own size and quantity.
Where a flanged connection is required, confirm the mating flange standard, drilling, pressure rating and complete assembly requirements. Include backing rings, gaskets and fasteners in the discussion. Matching a nominal diameter does not by itself confirm that two flange assemblies fit.
Specify the intended joining method and available installation equipment. Joining procedures, inspection criteria and operator qualifications should be agreed with the relevant manufacturer and project team.
The purchase order should identify the evidence the buyer expects, rather than relying on the phrase “good quality”. Discuss product marking, dimensions, quantities, batch identification, applicable inspection records and the scope of any independent inspection.
Ask the quotation to state which documents are included and which require separate arrangements. Photographs can help check visible condition and packing, but do not replace required test records or acceptance criteria.
Specify the preferred pipe lengths or coil requirements, subject to available product sizes and transport limits. Provide the destination port or delivery address, unloading restrictions, requested delivery window and trade terms.
Request a packing proposal with item identification and quantity breakdowns. Ask the supplier to distinguish production lead time from transport time and to confirm both for the actual order. This example makes no promised delivery time or freight saving.
The initial “2,000 metres of pipe” request becomes an organised supply list: pipe specification, fitting schedule, connection requirements, inspection documents, packing and delivery terms. The expected benefit is a clearer comparison between offers; no completed delivery, cost reduction or measured project result is claimed.
Example enquiry to adapt:
Application: water-distribution extension
Pipe: HDPE, 110 mm outside diameter, 2,000 m total
Material grade and SDR / pressure class: attach approved specification; otherwise state what needs confirmation
Pipe lengths: please confirm available options for the requested specification
Fittings: quote against the attached drawing and quantity schedule
Connections: confirm mating flange details and joining method
Documents: list project-required approvals and inspection records
Destination and trade terms: [insert]
Required delivery window: [insert]
Please identify the included items, exclusions, packing and quotation validity.
Send Lukuang your bill of quantities or drawing together with the diameter, quantity and destination. If the specification is incomplete, identify the open items so they can be discussed before a quotation is finalised.
